Requirements: presentation of the URJC card.

Where: At the counters on the different floors of each Campus Library, or at the self-checkout machines.

Documents: Those documents that are not expressly excluded from loan are subject to home loan (reference works, collection of magazines, collection of old funds, works of singular value, doctoral theses and final year projects), and documents that , without being framed in any of the previous categories, it is considered appropriate to exclude.

Expiration: The expiration of the loan period is reflected inside the document by means of a reminder attached to a cover sheet. The conditions and duration of the loan vary depending on the category of user in question and the type of document that you want to borrow.

  • Booking: To make a reservation, the user must have the loans in his/her name in order. Only two documents may be reserved at a time. The reservation will be made from the website of the Library catalogue:
    • The search is made in the catalog.
    • Check that there are no copies available.
    • Click on the link on the left "Reservation".
    • It is necessary to identify yourself with the unique domain user in order to make the reservation.
    • When the copy is available, an email will be sent to the user with the pick-up location and the date until which the reservation will be available.
  • Renovations: Users may request the renewal of the documents they have on loan for one more period, provided that they are not late in said document or in any of their current loans.

Renewals will be done from "My Library Card". The user must identify himself with his unique domain user in the BRAIN library catalog and once identified, access "My library card"-"My loans". In the items that can be renewed, the option to do so will appear.

You can take the books you need from the shelf and make the loan yourself at the machine provided for this purpose.

You just need to bring your University card and remember your personal identification number (PIN).

The procedure is very simple:

  • Have a valid university card and have no sanctions.
  • Know the PIN.
  • Once this information is known, the user can go to the self-checkout machine with the book they want to take home, place the card with the barcode on the back facing up, enter the PIN and then the book of interest with the barcode also up
  • After a few moments, the loan operation is registered; the book, degaussed; and a receipt is printed notifying the reader of the book's return date.

This service is subject to Library lending policy.

return mailboxes

The return mailboxes allow books to be returned at any time during the University Library's opening hours, without the need to go through the loan counter.
We have one in each Campus library, always near the loan counters; They have a touch screen to perform the operation.
They allow to return the books on loan, in 3 easy steps:

  1. Press the RETURN option of the machine to start the process.
  2. Scan the barcode of the item you need to return with the scanner.
  3. Deposit the item in the mailbox through the slot.

You can repeat this process for each item you want to return.
The books are automatically returned. You can check that the item is returned from your user account at BRAIN.
Returns after the deadline will be sanctioned in accordance with the Current loan regulations.

The Rey Juan Carlos University forms part, as an ex officio member, of the Madrono Consortium which brings together public universities of the Community of Madrid and the UNED.

Rules for granting the Madroño Passport

  1. Teaching staff, researchers, postgraduate students (official master's, own and research), research fellows with teaching load and PAS of the Rey Juan Carlos University may request the Madroño Passport in their respective Campus Libraries, in accordance with the Agreement 2021 of the Technical Commission of the Madroño Consortium.
  2. To request the card, the interested party must go to their Campus Library providing:
    • A passport size photo.
    • Copy of the relationship contract with the URJC (only for contracted personnel)
  1. Applicant users must sign a form Spanish / english (which will be provided in the library at the time of making the card) in which the conditions of use of the Madroño Passport appear.
  2. The Madroño Passport is a card that entitles you to obtain home loan books from the Universities that are part of the Madroño Consortium (Alcalá de Henares; Autónoma de Madrid; Carlos III; Politécnica de Madrid; URJC and UNED).
  3. The loan period for withdrawn copies will be thirty days, renewable for one more period, with a maximum limit of four per user.
  4. The user will receive several notices in his email account, as the stipulated return period approaches.
  5. Users who have this identification will also be able to automatically obtain the National Library of Spain research card, which will allow them to use any of its reading rooms and will give them access to consult any of its collections and services. 

Intercampus Loan

The Intercampus Loan is a service offered by the Library to its users and that is used to obtain original documents or photocopies of journal articles (the latter only for PDI and PAS) that are not in your Campus Library, but that due to the On the contrary, they can be found in one of the other URJC Libraries.

There are certain materials excluded from the intercampus loan, these are: Reference Material. Books "with red dot" and audiovisual material.

Basic issues: 

  • One form per document.
  • The approximate reception time is 2/3 days.
  • You will receive an email or you will be notified by phone to pick up the document. If it is in electronic format, it will be sent in PDF to your user email account.
  • You have 3 days to pick it up. Once the term has elapsed without the user withdrawing the document, it will be returned to its library of origin.

15-day loan for students. Request your laptop/graphics tablet at your library counter or in the spaces provided for it.

Interlibrary Loan

 This is a centralized service whose purpose is to support research and teaching by providing URJC users with original works on loan and access to reproductions and electronic documents that are not in our library collections. Likewise, the URJC will provide documents requested by external centers.

Users

The Interlibrary Loan Service is aimed at the entire active university community.

  • PDI.
  • PTGAS.
  • Postgraduate and Own Degree Students.
  • Undergraduate students.

Privacy Policy

Service regulations: Interlibrary Loan

The documents are provided exclusively for personal research purposes of a cultural or scientific nature. The user will be responsible for their use in accordance with RD 1/1996 of the Intellectual Property Law.

To use the Service for the first time, it is essential to register; the user must appear in the URJC database and have a library card.

Once we are registered, access to the system is done from a form, identifying ourselves with the university's unique domain account (@urjc.es); except for the Degree students which will require signed authorization from a teacher to attach to the form sent to the library.

Only documents that are not in the URJC collections can be requested. If the document we need is in our collections and in a library other than the one we are affiliated with, we will make the request to Intercampus Loan ServiceIt is recommended to consult the BURJC search engine beforehand.

A limit of 10 requests per user per month is established for PDI, PTGAS, Postgraduate Students and 5 requests for Degree students. As long as it does not harm another user, more requests may be admitted.

The cost of the service is assumed by the University, according to an agreement approved by the Library Commission. If we do not have a free agreement established with the supplying library, we will apply the Rebiun rates. The documents requested from abroad have a cost set by each center and In no case will the costs fall on the user.

The user undertakes to take care of the copy loaned and to replace it in the event of loss or damage.

The requested documents may be;

  • Physical book on loan.
  • Digitization of journal article.
  • Digitization of book chapter.
  • Audiovisual material.

The following are excluded from the Interlibrary Loan Service:

  • Full e-book.
  • A magazine issue on loan.
  • Reference works (dictionaries, laws…).

Each supplying library establishes its own criteria depending on the licenses subscribed to and the cataloging of its collections.

 

Service User Guide

When we need several articles from the same journal issue, or several chapters from a book, we will use one form for each request.

We access the form from the library website:

Document Data

  1. We have the option to automatically fill in the form if the requested document has a PubMed ID. Some databases allow this option also with DOI.
  2. Title of journal or book is mandatory; indicate the full title and avoid non-standard abbreviations.
  3. Author; of the complete work or of the requested chapter/article.
  4. Title of article or chapter; when we request a digitalization that does not involve a loan.
  5. Year, volume, number, pages, ISSN are mandatory data to correctly reference the article we need. In the case of a loan, the ISBN, year or edition limit the search to a specific copy. If this is not the case, we can leave the field blank to obtain more results in the search.

 Application Data

  1. Document type; the drop-down menu gives different options, normally we will use book/magazine.
  2. Is it a loan? YES, when a complete physical book is requested. And NO when we request the digitalization of a journal article or a book chapter.
  3. Support; we use electronic when it is digitalized material. Or paper when it is the loan of a physical book. CD (R) OM, if the catalog indicates that it is in this support.
  4. Reception; GTBib, is used for digitalized electronic documents, provided that our request is a NO loan, we will choose this option. By mail, when it involves a physical loan.
  5. Notes: Here we can indicate any information that may complete or help the service staff in searching for the document, or any communication.

 Pick-up-drop-off

The borrowed copies will be collected from the library that the user has specified in his/her profile. The return must be made within the indicated period (if more time is needed, an extension must be requested from the application or directly to the email account). ). They will preferably be returned to the same library.

Processing is centralized at the URJC. Deadlines will depend on the number of requests and the supplying libraries, depending on whether they are national or foreign.

FAQs

How long do my applications take?

As a general rule, electronic documents are delivered within 3 days from the date the request is processed. As the service is centralised, and taking into account the delivery times between libraries, the books on loan will depend on where they were borrowed; if they are requested from a library within the Madroño Consortium - 4 days -, national libraries - 7 days -, international libraries - 12 days -.

 Where can I consult my electronic documents?

When we access the system, a menu of options is displayed:

En my requests We can see all our requests and their status; pending processing, in progress or served. Each request has an information box from which we can make any queries about it to the Interlibrary Loan Service, request cancellation or request an extension.

There is an option to view the information about the document again and by clicking on the title, it is possible to download it from the server for a current year.

In the documents in your mailbox We will be able to find the files that we have not yet opened. Previously, when the document is already available, we will receive a notification email.

 Where can I pick up and return my borrowed books?

When each user registers for the Service, he/she indicates the reference library where he/she wants to pick up and return his/her loans. If necessary, the return of the items to the library of any campus is permitted.

When the book is available for collection at the assigned library, we will receive an informative email.

 How can I request an extension?

The loan period always depends on the lending library and the power to grant an extension also depends on it. Requests for an extension must be made in the week before the expiration date. Usually no more than two extensions are granted per loan.

 My user is blocked, what do I do?

The user may appear blocked for two reasons:

  1. I am an undergraduate student; I am registered in the system, but if I want to request documents again I will need to send the signed authorization from the professor and the form again. I cannot submit applications directly.
  2. The effective date that we have in our profile is not updated with that of the URJC database. We can send information by clicking on contact so that they are updated.
